What a school management system does
A school management system keeps a school’s daily work in one place instead of registers, Excel sheets and WhatsApp groups. For a Pakistani private school that usually means:
- Students, classes and sections, with admission records
- Daily attendance, and telling parents about absences
- Monthly fees: challans, payments, receipts and defaulters
- Exams: marks entry, grades, positions and report cards
- A parent app or portal for attendance, results, fees and notices
- Often also homework, the timetable, staff attendance and salaries
Ten things to check before you choose
Fee challans your bank accepts
Fees are where most schools lose money. Look for challans with student, school and bank copies, your bank account, a late fee after the due date and a barcode, printed for a whole class at once. It should handle part payments and discounts, and show a list of who still owes.
Attendance teachers will actually take
If the register takes longer on a phone than on paper, teachers stop using it. Check that a teacher can mark the whole class present in one tap and only change the few who are absent, and that parents hear about absences the same day.
Report cards that match your grading
Your grade bands, your pass mark, positions in each section and your board’s subjects (Matric, and Cambridge or Aga Khan if you run them). Ask to see a real report card printed from the system, not a mock-up.
A parent app parents can use
Most parents will not create an email account or download a large app. A sign-in with the mobile number they already use, on any phone, makes the difference. Ask whether messages to parents cost extra (SMS bundles add up).
The language your staff work in
Some systems are in English, some in Urdu, some both. Decide what your office staff and teachers need, and try the system with them before you buy.
What happens without internet
Online (cloud) systems need a connection; desktop software works offline but only on the computer it is installed on. Ask what happens when the internet drops in the middle of the school day.
Moving your data in
Re-typing a whole school is where most switches fail. Check that the system imports students from Excel or your old software, keeps your admission numbers and brings in unpaid dues.
More than one campus
If you have, or plan, a second campus, check that each keeps its own students, staff and fees while the owner sees all of them from one account.
Who owns the data, and how it is protected
Your records should stay yours: kept apart from other schools, sent over encrypted connections, and exportable to Excel or PDF when you need them.
Support in your hours, in your language
You will have questions in the first month. Find out who answers, how (WhatsApp, phone, email) and whether setup help is included.
What it costs in Pakistan
Systems are priced in one of four ways. Always ask for the full monthly price for your number of students.
- Per student, per month. The bill follows your enrolment, so a small school pays little and a growing one pays more.
- Flat monthly plans by school size, sometimes with modules sold separately.
- A one-time licence for desktop software, usually with a yearly maintenance or update fee.
- Free plans for very small schools, usually limited in students or features.
Watch for costs outside the headline price: setup and training fees, data migration, SMS bundles for parent messages, extra charges per campus, and price rises at renewal.
300 students × Rs 25 per student for every module = Rs 7,500 a month. However many students a campus has, it never pays more than Rs 15,000 a month. No setup fee.
Online (cloud) or desktop?
| Online (cloud) | Desktop | |
|---|---|---|
| Where it works | Any computer or phone | The computer it is installed on |
| Internet | Needed | Not needed |
| Teachers and parents | Can use it on their own phones | Usually office staff only |
| Backups and updates | Done for you | Your responsibility |

Questions to ask before you sign
- What is the full price for my number of students, every month, for everything I need?
- Is there a setup, training or data-migration fee?
- Are messages to parents included, or do I buy SMS separately?
- Is there a contract or a minimum period? What happens to my data if I leave?
- Can I see a real fee challan and a real report card printed from the system?
- Will you import my students and unpaid dues from Excel or my old software?
- How do teachers take attendance, and how long does it take for one class?
- Can I try it free with my own school before paying?
